This policy breaks down exactly what info we collect when you train with us, why we need it (spoiler: it's mostly to make your fitness journey better), and how we keep it locked down tight. We're based in Vancouver, BC, Canada, so we follow all the Canadian privacy laws - PIPEDA and all that jazz.


Information We Collect

When you sign up with us, we'll ask for the basics - your name, email, phone number, and address. Pretty standard stuff. We need this to reach you about class schedules, membership renewals, or if we've gotta cancel a session because our HVAC decided to quit on leg day (it happens).

We also collect your emergency contact info because safety first, always. If something goes down during an intense training session, we need to know who to call.

Here's where it gets specific to what we do. We'll collect info about your fitness goals, medical history, injuries (past and present), and any physical limitations. This isn't us being nosy - it's literally so we don't push you into exercises that could mess you up.

During your journey with us, we'll track your progress metrics - weight, body composition, strength gains, endurance improvements, that kind of thing. Your personal trainer or coach uses this data to adjust your program and keep you moving forward safely.

If you're working with our nutrition counseling services, we'll also collect dietary preferences, restrictions, and your eating habits. Can't build a proper meal plan without knowing you're allergic to shellfish or that you're vegan, right?

For memberships and services, we'll need payment details. We use secure payment processors, so we don't actually store your full credit card numbers on our systems. We keep billing addresses and transaction history for accounting purposes and to handle any billing questions you might have.

If you're on a monthly membership, we'll store your payment method for recurring charges. You can update or remove this anytime through your member portal or by hitting us up at the front desk.

When you browse our website or use our member app, we collect some technical stuff - IP address, browser type, device info, pages you visit, and how long you hang out on each page. This helps us figure out what's working and what's not on our digital platforms.

We also track facility access through our key card system. This is mainly for security and to understand peak usage times so we can staff appropriately and keep the equipment maintained.


How We Use Your Information

First and foremost, everything we collect goes toward making your training better. Your health info helps us design programs that won't injure you. Your progress metrics let us know when to level up your workouts or dial things back if you're overtraining.

We use your contact preferences to send you useful stuff - workout tips, nutrition advice, schedule updates. Not spam, just actual helpful content. And if you're not into it, you can opt out of marketing emails anytime.

We use your info to handle the day-to-day operations - processing payments, scheduling classes and PT sessions, managing memberships, keeping our facility secure, and maintaining equipment based on usage patterns.

Sometimes we'll analyze aggregated data (no individual names attached) to understand trends. Like, if everyone's crushing HIIT classes on Tuesdays, maybe we should add another session. That kind of thing.

Sometimes we're legally required to keep certain records or share info with authorities. For example, if there's an injury at the facility, we might need to provide documentation to insurance companies or regulatory bodies.

We'll also use your info to enforce our facility rules and membership agreements. If someone's consistently violating policies, we need records to back up any actions we take.


Who We Share Data With

We work with trusted third-party companies to run certain parts of the operation. Our payment processor handles transactions, our scheduling software manages bookings, and our email platform sends out communications. These folks only get the info they need to do their specific job, and they're contractually bound to keep it confidential.

If we bring in specialist coaches or nutritionists who aren't on our direct staff, they'll have access to your relevant training or nutrition data, but only what's necessary for them to work with you effectively.

Access to your personal data is restricted to staff members who actually need it to do their jobs. Everyone on our team signs confidentiality agreements and gets training on privacy practices.

  • Don't leave your key card lying around - if you lose it, let us know immediately so we can deactivate it.

  • When you're done using a shared computer at the facility, make sure you log out completely.

No system is 100% hack-proof, but we're constantly working to stay ahead of threats and minimize any risks.
